Key Performance Indicators (KPI) are agreed time frames between HR Shared Services (HRSS) and Health Services Safety Investigations Body (HSSIB) as to when tasks will be completed.

The table below will show you the KPIs for each of the recruitment stages:

Vacancy Advertised Within one working day of all authorisers approving the vacancy request.  
 
If further information or amendments are required, you will receive an email detailing the requirements within the one working day time frame.
Interviews set up Within one working day of shortlisting being complete and the Interview Gateway being completed by the Lead Shortlister.  
 
Please be aware that interviews must be at least two working days in the future for HRSS to be able to set them up in Trac. Any that are to take place in less than two working days from when the information is provided to HRSS, will be created as ‘offline’ and no invitations will be sent through Trac, instead it will be the responsibility of someone named on the vacancy to contact the candidates. 
Conditional Offer letter sent to successful candidate

Within one working day of receiving all required offer details.  

Offer details are provided by the Lead Interviewer when moving the candidate to Offer and completing the Offer table in Trac.  
 
The Recruiting Manager (RM) or Lead Interviewer will need to provide the Identity (ID) and Right to Work (RTW) documentation for the candidate prior to the Offer letter being sent.  
 
If there is any information missing, this will be requested by HRSS within the three working days.

First Day Reporting letter and Contract issued to candidate

Three working days from the confirmation of Start Date.

Addendum issued to candidate

20 working days from the confirmation of Start Date.

Confirmation of previous NHS service

Within 20 working days of employee’s Start Date.
