Longlisting is an optional feature in Trac that allows the Recruiting Manager (RM) to sort applications into ‘piles’ whilst the vacancy is still open. 

Longlisting is not an alternative to Shortlisting but is used to reduce the number of applications sent for Shortlisting.

The Longlisting Process

Applicants should be Longlisted against a single essential criteria from the person specification and sorted into the following piles:

Pile 1: Meets all essential criteria

Pile 2: Meets some essential criteria

Pile 3: Meets no essential criteria

Once the advert has closed, candidates in pile 1 and 2 will be moved to Shortlisting by HR Shared Services (HRSS) while candidates in pile 3 will be rejected and issued with a longlisting reject email.

When considering using the longlisting feature in Trac you should consider the following:

  • You can only select one of the essential criteria in which to longlist against, the criteria which is selected is at the discretion of the RM.

  • Only the RM or their Delegate can longlist.

  • Longlisting can only be actioned whilst the vacancy is being advertised, candidates cannot be longlisted after the advert has closed.

  • You cannot select who to interview from Longlisting. All applicants who meet the essential criteria will need to be reviewed by the Shortlisting panel.
