A Recruiting Manager (RM) and their delegate can request certain amendments to Trac vacancies, for example:

  • Updating the Job Description (JD)

  • Changing the vacancy wording.

  • Amending the Shortlisting / Interview panel

Please note: This list is not exhaustive.

Lead Shortlisters and Interviewers can request amendments to the panel of which they are the lead only, for example:

  • A lead Shortlister could request an amendment to the Shortlisting panel

  • A Lead Interviewer could request an amendment to the Interview panel

Shortlisting criteria cannot be amended once the vacancy has been made live on NHS Jobs 3

When contacting HR Shared Services (HRSS) to request an amendment, you are required to pass Customer Verification (CV) before HRSS can make any amendments. 


Passing ‘Customer Verification’

The CV process for vacancy amendments requires the RM, or their Delegate, to add a note to the vacancy in the Trac system. Lead Shortlisters and Interviewers are only able to add notes to vacancies at specific points in the recruitment process.

Where a RM, Delegate, Lead Shortlister or Lead Interviewer is unable to add a note in Trac, HRSS will send an email to your @nhsbsa.nhs.uk email account with a code, this code should then be relayed via the telephone.
