Key Performance Indicators (KPI) are agreed time frames between HR Shared Services (HRSS) and NHS England (NHSE) as to when tasks will be completed.
The table below will show you the KPIs for each of the recruitment stages.

Interviews set up | Within one working day of shortlisting being complete and the Interview Gateway being completed by the Lead Shortlister. Please be aware that interviews must be at least two working days in the future for HRSS to be able to set them up in Trac. Any that are to take place in less than two working days from when the information is provided to HRSS, will be created as ‘offline’ and no invitations will be sent through Trac, instead it will be the responsibility of someone named on the vacancy to contact the candidates. |
Conditional Offer letter sent to successful candidate |
Within one working day of receiving all required offer details. Offer details are provided by the Lead Interviewer when moving the candidate to Offer and completing the Offer table in Trac. |
References requested |
Within one working day of the Conditional Offer letter being sent to the successful candidate. |
Email sent to the Recruiting Manager for confirmation on First Day Reporting information. |
Two working days after the vacancy is moved into the ‘Ready for Start Date’ stage in Trac. The vacancy will be moved to this stage once all pre-employment checks are complete. |
