The Trac system will automatically issue a Managers update report every Monday to all Recruiting Managers (RM).

This will show the status of their vacancies and applications. 


Points to note:

  • Where a vacancy has candidates that are in active states of Offer or Starting, the report will have a row for each application containing both the vacancy details and the candidate details. 

  • If an application is in an inactive state, or within the Outcome stage, the vacancy will be omitted from the automated report.

  • Where a field is blank there is no data to show, as the vacancy or candidate have not yet been through a particular gateway or stage.

Why is a Recruiting Manager still receiving a Trac Managers Update Report after their candidate(s) have started in post?

A Recruiting Manager (RM) will continue to receive a weekly Managers Update Report from Trac until all vacancies for which they are the named RM for are moved to ‘Outcome’ by the recruitment team.

Vacancies are moved to outcome as part of the Application Pack (App pack) process once all recruitment actions have been completed.

As the App pack process does not have a Key Performance Indicator (KPI) for this task to be completed by HRSS, RM’s may continue to receive a Manager Update Report after all candidates on the vacancy have been sent their contract and moved to ‘Starting’ on Trac.
