Advertising Stage

The only information available during the advertising stage will be the volume of applications, which can be viewed by the Recruiting Manager (RM) and Delegate within Trac.

Please be aware that any applications made via NHS Jobs will not be visible until the Shortlisting stage. If the RM or Delegate wishes to check the application volumes on NHS Jobs, they will need to contact the HR Shared Services (HRSS) Query team.

The Shortlisting panel will not be able to view any applications in Trac at this stage.

 
Shortlisting Stage

No personal information will be visible to the panel prior to or during the Shortlisting stage. 
 
Once Shortlisting is available, the panel will be sent an email to invite them to begin Shortlisting. 
 
Once the Shortlisting is completed, the vacancy and candidates selected will be moved into the Shortlisting: Evaluate stage, where further candidate details will become visible:
  

  • Candidate’s name and details.

  • Disability status.

  • Internal member of staff.

  • Spent convictions that need to be considered.


Can Shortlisting scores be sent to a candidate?

HRSS cannot send Shortlisting scores to a candidate. 

If a candidate wants to view their Shortlisting scores, they must make a Subject Access Request (SAR).
