Views:

The role a user is assigned in Trac will determine what information they can see. 

Users will only be able to view the information for vacancies they hold an active role.

The main user roles are detailed in the table below:


Recruiting Manager (RM) 


The RM is known in Trac as the Appointing Manager. 

The RM can view all stages of the recruitment as it progresses in Trac. 

The RM will not be able to view an applicant's personal details until after shortlisting is complete.

The RM will not be able to progress candidates through the Shortlisting and Interview stages. The Lead Shortlister is the only role that can progress candidates through to Interview, and the Lead Interviewer is the only role that can record the outcomes of interviews and progress any successful candidates through to the Offer stage.

Delegate User 

A delegate user is an employee who has been granted 'like for like' access as that of the RM. 

They will be able to see all the same recruitments and details as the RM, as well as take actions on their behalf. 


Shortlisting panel 


The Shortlisting panel will have no actions available on an applicant's record until the advert has been closed and the shortlisting has been sent to them by a HR Shared Services (HRSS) Administrator. 

Once sent, the panel can view applications but will not be able to view the applicant's personal information. 

Only the Lead Shortlister can progress the vacancy to the interview stage and complete the interview gateway. It is their responsibility to ensure all candidates are marked as successful or rejected. This will avoid any potential delays to the candidate's receiving their invite or rejection message. 


Interviewing panel 


The Interview panel will be able to see the applicants that have been invited to interview once they have booked onto an interview slot. 

Only the Lead Interviewer can record the interview results and progress the vacancy to the Offer stage. 

It is important that the Lead Interviewer completes the Offer table correctly before moving the vacancy to interview, as any missing information could lead to delays in the offer letter being issued. 

It is also the responsibility of the Lead Interviewer or Recruiting Manager to contact the unsuccessful interviewees.
