When drafting any vacancy, you will only need to input the following authoriser:

Authorisation path for NHSE vacancies 
Path number Authoriser Email address

NHSE Recruitment team england.contactfop@nhs.net

This authoriser is the NHSE Recruitment team who will review the vacancy.

If all the required information has been correctly input, the team will add any additional authorisers before approving.

If the vacancy requires additional information or any amendments the team will send the vacancy back to draft for the Recruiting Manager (RM) to make the relevant amendments.

Additional authorisers added by the NHSE Recruitment team

The following is for information only to enable you to understand the progress of your vacancy, you do not need to add any of the following into the authorisation path as the required additional authorisers will be added by the NHSE Recruitment team.

All vacancies (except NHP)

Once the NHSE Recruitment team have reviewed the vacancy, they will add the NHSE QA team into the authorisation path who will complete a Quality Assurance (QA) check of the vacancy.

New Hospital Programme (NHP)

To ensure that the vacancy receives the QA check, one of the following will be added into the authorisation path for NHP vacancies:

Medical Staffing Vacancies

The Medical Staffing team are added to the authorisation path for Medical Staffing vacancies, this is to ensure that the relevant team review the vacancies before they are advertised. 

When the Medical Staffing team review the vacancy they will complete the following checks:

  • The advert text
  • The Job Description (JD)
  • Pay Scheme
  • Salary

Provided all information is correct the team will authorise the vacancy and add a note confirming the Offer Letter and Contract to be used for the successful candidate(s).

HR Shared Services (HRSS)

HRSS are added as the final authoriser for all vacancies that are advertised externally and for vacancies where candidates require pre-employment checks to be carried out, for example, Retire & Return and Honorary.

What happens when the vacancy is submitted for authorisation?

Once the vacancy request is complete, it is submitted for authorisation and sent to the first authoriser (NHSE Recruitment team) to review. If approved, the request is sent onto the next authoriser in the authorisation path.

Each authoriser will receive an email asking them to review the vacancy request; their review should be complete within one working day.
