In order for HR Shared Services (HRSS) to send the Contract or Addendum to the successful candidate the following must have been completed: 
 

  • All pre-employment checks in Trac.
     
  • A review by HRSS of the immigration status and Right to Work (RTW) checks of the candidate including approval to start in role from Corporate HR if necessary.
     
  • The first day reporting information (FDR) sent in writing to HRSS by the Recruiting Manager (RM).
     

If the RM does not provide all the requested FDR information, the Contract will be sent only detailing the start date.

The timescales for HRSS sending the Contract/Addendum are:

  • HRSS will issue a contract within three working days of a receiving the start date

  • HRSS will issue an addendum within 20 working days of receiving the start date.

  • HRSS will issue a Secondment Agreement within 14 working days of receiving the start date.

 

Immigration Status Review

Before HRSS request the FDR information from the RM they will review the candidate’s immigration status and Right to work (RTW) details. 

If the candidate’s immigration or RTW details show as any of the below, HRSS will send an email via Trac to Corporate HR requesting approval for the employee to start in role: 

  • Postgraduate Doctors and Dentists

  • Student Visa - applying for a part-time or bank position

  • Student Visa - applying for a full-time position

  • Dependant / Spouse Visa

  • ILTR

  • (WP/Tier 2) Work permit, Tier 2 or Skilled Work visa

Or:

  • The RTW seen is a ‘Biometric Immigration Document’

  • The candidate’s nationality/ethnic origin shown in the ‘App form: Equal opportunities’ tab in Trac, is not British or Irish


HRSS will only request the FDR information from the RM once this approval is received.
