If you have a candidate who is appointable but did not score as highly as the successful candidate(s), the Lead Interviewer can move them into 'Offer: Reserve’. This allows the Recruiting Manager (RM) to come back to them if their primary candidate(s) withdraws.

When adding someone to 'Offer: Reserve', you are required to complete the Offer table detailing what might be offered in the future. By completing this table, you will not be sending an Offer letter to the candidate.

You can view further guidance on Offer: Reserve on the Trac website.

Important points to note:

  • You should still contact your candidate after the Interview to inform them that they were not successful even if you intend to place them into ‘Offer: Reserve’.

  • If the candidate placed in the 'Offer: Reserve' is not required, you must email the HR Shared Services (HRSS) Query team to request that the candidate is rejected.
