Any requests for the below changes must be emailed to the HR Shared Services (HRSS) Query team or by replying to a Trac communication received into your outlook email account relating to the vacancy.
Amending the Shortlisting panel
The Shortlisting panel, including the Lead Shortlister, can be amended by HR Shared Services (HRSS) at any point before and during the Shortlisting stage in Trac.
The following people can contact HRSS to make an amendment to the Shortlisting panel:
- Recruiting Manager (RM) for the vacancy.
- Lead Shortlister.
- A named Delegate for the RM.
A minimum of two Shortlisters must be present on the panel within Trac.
If any of the Shortlisters being removed have partly or fully completed their Shortlisting, their scores will be removed from the system when they are removed from the panel.
Who can be listed as a Shortlister?
A Shortlister can be any active employee of your organisation.
All shortlisters should have a @nhs.net email address or the business equivalent. Due to security, personal email addresses should never be used.
Amending the Shortlisting scores
Shortlisting scores can be reset for the following:
- All candidates
- A specific candidate
- All Shortlisters
- A specific Shortlister
If the scores are reset for a specific candidate, all Shortlisters will be required to re-score that application. If the scores are reset for a specific Shortlister, this will not impact the scores provided by the remaining Shortlisters.
If a Shortlister has ticked ‘completed’ by accident, please contact the HRSS Query team who will be able to untick this to allow you to finish Shortlisting.
