Some roles require candidates to hold a valid professional registration (e.g., with the General Medical Council (GMC), Nursing and Midwifery Council (NMC), General Dental Council (GDC) etc. Professional registration checks must be completed by HR Shared Services (HRSS) before a candidate can start employment when a vacancy requires professional registration.
The RM is required to indicate if Professional Registration is required for the role when they create a vacancy request.
If the RM has not indicated 'Yes' or 'No' when they have completed the request, the vacancy can still be advertised however the HRSS recruitment team will email the RM from Trac to request the information.
Purpose of the Check
To confirm that:
- The candidate is the person registered with that regulatory body.
- There are no restrictions to their registration that would affect their ability to undertake the duties of the role being offered.
- There are no pending investigations on their fitness to practise that must be considered by the employer.

Membership of Professional Bodies
Candidates are asked to provide details of any relevant professional registrations or memberships via the Trac application form. They are advised this information will be subject to a satisfactory check.
For most professional bodies this check can be carried out on the relevant website however in cases where a website does not provide this tool, we then require proof of professional registration which is requested via DPEC.
If a candidate cannot provide proof of their professional membership, the HR Administrator is required to contact the membership body directly to verify the candidate’s registration.

How the Check is Completed
Once an offer is issued:
- The HR Administrator reviews the vacancy to confirm whether professional registration is required.
- The HR Administrator uses the details provided by the candidate in the ‘App form: Application questions’ section of Trac to check the online register.
- If the registration is current without any warnings, reprimands, conditions or suspensions the Professional Registration check in Trac should be completed and marked as a Success.
Healthcare Professional Alert Notice (HPAN)
For medical or dental professional registrations, HRSS are also required to check the healthcare professional alert notice (HPAN) system. HPAN is a system where notices are issued by NHS Resolution to inform NHS bodies, or other organisations providing services to the NHS, about registered health professionals whose conduct or practise would pose a significant risk of harm to patients, staff, or the public.
