After a candidates Offer letter has been issued, candidates will be sent an email containing a link to their Occupational Health (OH) online medical questionnaire. This is part of the pre-employment checks stage.

All OH questionnaires are raised through the external provider, Health Partners.

Once the candidate has completed the questionnaire, this will be returned to Health Partners for review.

 

What happens if the candidate does not have a UK address?

An OH questionnaire cannot be raised with Health Partners if the candidate does not have a UK address. If a candidate does not have a UK address, the OH will be put on hold until they can confirm their UK address.

 

What happens if further assessment is required?

If the information provided requires further assessment, an appointment will be arranged directly between Health Partners and the candidate. This discussion may require the candidate to provide medical records.

If a candidate does not attend their OH telephone assessment, Health Partners will send HR Shared Services (HRSS) an email advising them that someone did not attend their appointment. HRSS will respond to Health Partners asking them to re-arrange the appointment. Health Partners will then re-arrange a further appointment with the candidate.

Candidates cannot contact Health Partners directly to re-arrange an appointment until HRSS have confirmed that the appointment needs to be re-arranged.

 

What happens once the OH referral is complete and Health Partners have reviewed any comments?

Health Partners will return the OH referral outcome to HRSS.

If no comments are recorded, other than a standard Display Screen Equipment (DSE) assessment, HRSS will mark the OH check as complete within Trac.

HRSS will email the results via Health Partners to Corporate HR and update the status of the OH check in Trac to ‘OH recommendations require review’.

 

What happens when additional comments are sent to Corporate HR?

The Corporate HR team will review the OH referral and decide whether the candidate's reasonable adjustments can be met.  

If the Corporate HR team are happy for the candidate to start in post, they will email the RM with any required adjustments. They will also email HRSS to confirm the recruitment can progress. HRSS will then mark the check as complete within Trac.

If the Corporate HR team feel they are unable to meet the reasonable adjustments, they will contact the candidate directly. Corporate HR will then email the RM and HRSS to confirm whether the Offer has been withdrawn.

 

What happens if the only additional comments are for a standard DSE assessment?

If a DSE assessment is the only recommendation on the candidate's report, this will not be sent to the Corporate HR team or the Recruiting Manager (RM).

HRSS will complete and mark the check as ‘Success’ in Trac. This does not apply if the report contains any other recommendations in addition to a DSE assessment.
