What is the First Day Reporting (FDR) email?
The FDR email is sent to the Recruiting Manager (RM) to request the candidate's FDR information; this information is required to enable the contractual documentation to be produced.
What information does the FDR email request?
The email will ask the RM for the following information:
- Start Date:
- Directorate:
- Department:
- Time:
- Report to:
- Contact:
- Personal email address (to allow the Induction facilitator to send welcome information): {applicantemail}
- Candidate's work email address:
- New Line Manager Name:
- New Line Manager Employee Number:
- New Line Manager Email Address:
- Does the New Line Manager require ESR Supervisor Self Service access?
- Will the employee have line manager responsibility?
- End date of Fixed Term Contract / Secondment Agreement: AMEND/DELETE AS APPROPRIATE
When is the FDR email sent?
The FDR email is sent within two working days of the candidate moving into 'Ready for start date' stage in Trac unless we require approval from Corporate HR to start in role.
HR Shared Services (HRSS) will also copy the new Corporate Inductions team (nhsbsainduction@nhsbsa.nhs.uk) into the current external Employment Checks Complete emails including clear instructions within the email that the Corporate Inductions team be copied in to responses regarding the new starters starting/first day information.
Should the candidate require approval from Corporate HR (CHR) to start in post due to their immigration status, this will be obtained at the pre-employment checks stage. HRSS will request approval to start in post from CHR if the candidate has a visa with an expiry date. Approval must be received from CHR before sending the FDR email.
Who can provide the FDR information?
Although the FDR information is requested from the RM, the information can be accepted from any individual named on the vacancy, for example, the Lead Interviewer, Shortlister etc.
